Job Description: Administrative Associate I

Description: Regular Full-time Nonexempt Market Range: 3 This position will produce printed programs for all School of Music recitals/concerts, schedule one-time uses of rooms in the Natalie L. Haslam Music Center and enter classes into the timetable, and work and supervise student workers at the unit's front desk.

Responsibilities include:

Gather event information for programs from students or faculty to produce all programs for the School of Music to include lectures, studio recitals, student recitals, faculty reci tals, ensemble concerts & guest artists. Ensure accuracy of information and verify correct grammar and spelling prior to printing. Follow standard School of Music policies to create final, approved version of program.

Print programs. Small percentage ar

e sent to UT Printing for printing. Keep inventory and order recital paper, as well as hard covers for programs for 4 SOM areas (band, choral, orchestra and percussion).

Event and Timetable Scheduling:

Responsible for maintaining the School of Music calendars related to one-time uses (e.g. student rehearsal, chamber music rehearsal, private lessons) of rooms in the Natalie L. Haslam

Music Center. Manages key checkout for room use.

Timetable entry: Assists the Associate Director of undergraduate studies with timetable entry in Banner for all SOM courses for each semester. Handles the entry of timetable changes throughout the year. Must insure that all entries are correct in order to prevent scheduling conflicts.

Administrative Support:

Oversees and provides front-desk services for the School of Music, greeting guests and answering questions from faculty, staff, students, and other visitors to the department. Trains and supervises student workers to understand the responsibilities of the front desk. Maintains departmental mailing list comprised of approximately 5,000 entries; assists and organizes large mailings for major development events (School of Music Gala) and for recruitment festivals (Cello, Viola, Violin, and Jazz). Maintains and updates departmental faculty/staff directory. Coordinates parking and manages building maintenance requests. Reconciles departmental ledgers for the School of Music. Completes Release of Final Paycheck forms for terminating faculty, staff and graduate students.

Other duties as assigned.

Qualifications:

Education: High school diploma. Preferred: Bachelor's Degree. A background in music or a related field is preferred. 2 years of office experience. Knowledge of Adobe In Design, Banner,

IRIS, Archibus, Ad Astra and/or ARGOS.

Required knowledge, skills, and abilities:

Excellent oral and written communication skills, strong interpersonal and customer service skills and experience in dealing with a wide-range of people. Ability to produce and edit professional-level documents. Knowledge and use of databases and Microsoft office (word, excel, etc.). Ability to manage and organize multiple projects concurrently.

Ability to create and meet deadlines.

Ability to learn new software, as needed.
