CHAPTER 1: INTRODUCTION1.1INTRODUCTIONOFPROJECTWine Talk which is quite eminent as aleadingonline wine shop inMalaysia is not onlyaimingon increasing their sales, the firm itself struggling tosurgetheir efficiency in terms of delivery of theirmerchandiseto the purchaserdoor step. Specifically, the delivery service is handled by the operationdepartment, whereby they will oversee the movement of goods and ensure thatthe product ordered by the consumer will be delivered on time.Focusing on the taskexecutedby the operation department, theoperationdepartment itself can beclassifiedinto five different major tasks,which known as Profiling and Monitoring, Customer Service, Inventory, StockOrdering and Packaging. All these activities areindispensableto beimplemented in a proper manner toeludeanyhindrancesfrom occurring thatwill affect the efficiency of theprogression.Furthermore, the operation department needsto be proactive and haveanabundantliaisonwith the sales department in termsoftheircommunication,since all the consumer orders will be received by the sale department and theyneed to inform the operation department, so that the operation department ableprocess and shipthe parcel to receive by the consumerwithinpromisedworking days. In short,aneffectivecommunicationamongstdepartments willcontribute to smoother processing and enhance efficiency.

In the process of conducting their task, all the staffs are required to givetheir full concentration toward their work to abstain any difficulties from arising.By doing this, the staffs able to dwindlethe probability of dilemmas fromhappeningwhich is the major factor that lead to the delayed of shipment andbuffer inprocessing of an orders. Even though all the staffs are subject to thisterm, still this term is much more crucial for the workers in the operationdepartment, since they are the key of success of the firm itself.

1.1.2DAILYTASK1.1.2.1 Processing Consumer OrderAs stated by(Rawi, 2016)most employees will beassigned a specific task that they need to conducted indaily basis, this tasks can be classified as major task andthe person that in charge take a full responsibility for anyoccurrence due to their actions. Specifically, each staffwill not conduct all the task in the organization processflow, since it is hard for an individual to focus on their taskif they perform various types of jobatone time.

As stated above, there are several procedures needto perform by the staffs daily. Different staff may havedifferent capability, for instance, employee that workingin ordering goods and packaging is not capable to pick upa call from consumer.Still, anintern student willbefamiliarisedwith all the process in the firm, for instance,not only learn in packaging, but also they will be tough inother process by the external supervisor like how toprepare a report, how to answer a call and et cetera toassist the students in their development and awarenessin real working environment.1.1.2.2 Updating Consumers OrdersIn order to assure the consumer notified that theirorder has been shipsout from the warehouse. They willreceive an email from the firm, that will inform the statusof their order. Basically,theperson in charge toupdatethis information playsa crucial role to update theinformation in the database known as Magento. He mustensure that all theinformationthat updated in the systemisaccurate, since all the updated information will be usedto determine whether the consumer order has beenprocessed.

Fundamentally, all the staffs in Wine Talk areallowed to update theinformation in the database,however, the operation department holdsan importantrole to assure that all the informationisupdatedon adailybasis to increase the efficiency of the process itself.There are some common terms used to updatetheconsumerorders status like Processing, Wine in House,Wine on Board, complete and et cetera. Each termhas itsown meaning, toguide the staff to conduct their dailytask. For instance, Wine on Board shows that the parcelis ready to be self-pick up by their owners and Wine onboard means that the product has been ship out. In short,all the information in this systemiscrucial for most oftheseactivities implemented in the organization.

CHAPTER 2: REPORT OFTHE TASK ASSIGNED2.1INTRODUCTIONWine Talkisa firm that well-known as the largest online wine retailer inMalaysia, to be the leading firms that carry out e-commerce businessmost oftheir daily operation will rely on Information Technology(IT) and also systemthat required internet connection. InOperation Department, there are someprocess need to be conducted without system and IT like the packagingactivities, nevertheless it still utilized a system prior the orderwasprocessedinto the packaging stage.TheBritish firmthat started to operate in 2012 currentlyhas11professional employees that have their own responsibility, most of theirworkforce are able to perform multitasking and conduct more than one task onthesame time, hasgiventhe firm confident to employ less staff to reduce theirexpenses. Currently, in operation department, there is only 3 mainsstaffs incharge to conductingall the tasks for operation and the existence of internshipscholar is to assist all the activities in the department itself besidesto enhancehis knowledge and skill that has been learnt in theory form.

In fact, there are various types of errands that need to perform by theemployees, for the operation departmentthere are more than seven main tasksthat needed to be conducted that been distributed to the fellow operation teammembers including the internship students.The tasks that include are customerservice, packaging of order, restock goods, receiving goods from suppliers,tracking consumer parcelsand et cetera. All these taskiscommonlyimplemented by the operation team in day to day and all these task above hasbeen experienced by the internship student at least once.For the daily task, since the intern scholar course is related to logistic,the external supervisorassigns him to do the oversee of the parcel that hasbeen shipsout by the firm to a courier service providerlike Ninjavan, SureReach, Rapido,and et cetera.Not only tracking the parcel, the intern studentwill also responsible todouble check all the packagingand follow ups need tobe conducted for those parcelsthatspoiledduring the delivery activities.Other than that, the operation head assigns some special tasks for theintern student to examine the performance of the students and to evolve hiscapabilities. Thetasks that given by the operation head are as below:1.Conducting Inventory Report in Monthly Basis2.Prepare an Incoming Stock Report Every Month3.Daily Hurdle Report for Operation Efficiency

Frequently, Inventory Report will be conducted once a month in WineTalk. The purpose of this report is to assure that all the goods received from thesuppliersarecorrect and to assure there is no missing goods inside thewarehouse.The responsibilities toprepare this reportaregiven to some of the staffsin Operation Department including the Internship Students, so that they able tofinalize the report smoothly. The staff that appointed to execute the reportfrequently need to work overt time to finalize this report, that will take around 2to 3 hours to be fully completed.ThereisStandard Operating Procedure (SOP)provided by the Operation Manager on how to conduct the reportin a propermanner as below.First and foremost, the Inventory Report ExcelFileneed to be amendedaccording the latest format needed by the Operation Manager. TheMicrosoftExcel filewill beconsistingof10 horizontal columnsand vertical columnswilldepends on type of goods inside to warehouse. The horizontal column will becategorized as SKU, Product Name, Type, Importer, Cost, Stock, Damaged,Differed, Total Bottles and Total cost.

Secondly, after the Microsoft Excel File is prepared. The staff will startcalculating all the products inside the warehouse. It is very important for the staffto arrange all the products with a similar type in one are to assure all the productsinside the warehousecounted.Thus, will contribute to the inaccurateinformation of the Inventory Report.Also, any new product that is just stored inthat month in the warehouse will be recorded in the Inventory Report for thatmonth.As a closure, when all the information is recorded in the Microsoft ExcelFile. The file will be once again reviewed and processed. All the price for thegoods that is stored in the warehouse for that month need to be updatedaccording to the latest supplier price list,so that the total price of the product inthe Inventory Report File will be accurate. Lastly, the Inventory Report File willbe handover tothe Finance Department for the final process and used by themas a reference for investigation if there is any missing product inside thewarehouse.

In fact, Incoming Stock Reportisordinarilyneededin anycorporation,particularly, for thosebusinessesthat providemerchandiseto their consumer.The incoming Stock report will contain all the information regarding the productsthathavebeen received by thefirm or product that has been delivered by thesuppliers. The superior purpose for this reportareto track whatisthe items thathavebeen received and stored in the warehouse are, thus the staff can easilyaccess to the report file since it has been transferred intoMicrosoft Excel files.The incoming stock report in Wine Talkwill be conducted once a month.As a largest online wine shop in Malaysia, the movement of their merchandiseisvery fast and sometimes the product that their consumer ordered is not in theirwarehouse, which lead the firm to create a Purchase Order(PO)for thoseproducts.Basically, the firm will receive more than one types of products everyday from their suppliers, which means that they will receiveinvoice from thesuppliers every day that need to be included in the report.In sum, it is essentialfor the firm to work with the reporton adaily basis to assurethat the report iswell updated.The contains of the Incoming Stock Report will recordthe essentialinformation from the invoicesgiven by the suppliers after they delivered theproduct. Normally, the most crucial information that needsto be included in theincoming stock reportisthe date of invoice, Stock Keeping Units number,number of invoice, quantity of products received and the total amount for theproducts.

Theintentionwhy the firm want Inventory reportsto be conductedon adaily basisis that the report can be used bythe staffto track down the previousorder information without searching it in a bulk of papers that consume a bunchof times.Besides, after the report has been completed, the space needed tostore all that informationisless since it not using any paper and support the goalof the firm, to be one of the company that is environmentally friendly.All in all, theintern student thatin charge for the Monthly Inventoryneedto work with the report indailybasisor at least in weekly basis, to assure thattheinformation in the report are well amended and can finalizethe incomingstockreport onthe end of the month for other department reference, notably thefinance department that will used that information for the payment purpose tothe suppliers. Also, if the intern student manages to finish the report earlier, hestill has a time to double check the reportanddo the correction if there is anyinaccurate informationbefore hand it to other departments.

In a business world, the competition is very high, if the companywant toassure they able to compete with other companies, they should have their ownindicatortotrackingtheir firm performance. If the company did not track theircurrent performance, it is easy for other organisations to surpass them.In Wine TalktheChief Executive Officer (CEO) will set a monthly targetfor their organisation to assure that the firm is in a right direction. Asanonlineshop firm, one of the key that indicates the performance of the company is thedelivery speed of a product ordered by the consumer, since a fast delivery canmakecustomers happy and a happy customers willing to purchase moremerchandise.How didthe companytrackingtheir delivery performance?maybebe aquestion that popsup inreader"smind, so the alternative way that the firm usedto assure that they able to track their delivery speed is by creating a DailyHurdleReportforOperation. The report will need to be conductedon adaily basis bythe person in charge, which is the internship scholar. However, beforeconducting the report, the intern still need to update severalinformation"s,whereby theinformationafterward will be used intheprocess of conducting thereport.

First of all, the intern need to update all the consumer information in themaster data manually by referring to the database known as Magento. The maininformation that included here are the date of theconsumer"sordersbeen shipsout and when the parcelisdelivered to the purchaser. Then, after all theinformation has been fully updated, the data will be exported into the report filesthat containanautomatic formula to calculate the information needed.Furthermore, the consumer response and feedbackisalso essential tobe included in the daily report to oversee if consumers are satisfied with theservice provided by the firm. In order to collect feedbackfromconsumer, the firmuse another third party system known as"Hot Jar". TheHot Jarwill store all thefeedback thatgaveby the consumer online, along with the consumer personalinformation. As for the report, the information fromHot Jarwill be exported intoa Microsoft Excelform before transferred into the master data to be processedand lastly will be moved to the report.

Finally, when bothinformationfrom the Master Data and Hot Jar hasbeen exported to the daily report, the final step that needsto be perform by theintern student before finalisingthe report is to filter the information according thereport needs. In fact, the Daily Report canbeseparated into 3 segments thatknowas Section1(S1), Section2 (S2) and Section 3 (S3), whereby the S1 willbe automatically done by the formulation. However,the intern still need toplacethe consumer feedback (comment) on the bottom column of S1. In S2 and S3,the information that needed here are the consumer orders based on their targetdelivery, for S2 the orders that need to be placed here are those orderthat needto be delivered yesterday and in S3 are for the orders that need to be deliveredtomorrow and next 2 days. Basically, the intern will need to filter the exportedbefore gettingthat informationneeded.

2.3ROLESANDRESPONSIBILITIES2.3.1JOBSDESCRIPTIONS1.Working with Daily Hurdle ReportPreparing the Daily Hurdle Report for the operationdepartmenton adaily basis, by collecting all theconsumer"sinfo information, that will be used in a shortmeeting every morning and to be send to the boarddirector. The report will consist of the date that purchaserordered a product along with their name and quantity ofproducts including the date of products delivered to theowner. Inform head of operation regarding to thatinformation that incompletefor future action. Finally,Collecting the consumer"s feedback to be included in thereport.

2. Assure Products Delivered on TimeOversee the movement of the products fromwarehouse to consumer"s door steps in a propercondition. Also, conducting a follow up for the pendingshipment by contacting the courier service and Informconsumer for any expected pending delivery by thecourier service. Investigate the actual circumstances forany damage parcel and determine the person that needsto bear the costfor damaged products. Lastly, chargesthe cost for the spoiled parcel to the person who areresponsible for the mistake.3. Responsible in Updating Consumers Order.Updating the consumer orders status in the systemis another crucial task to be done dayby day to assurethey are well notified with their order status Theinformation needsto be accurate to avoid any confusion,to assure the information are accurate, communicationbetween the individuals in operation department play animportant role.

4. Preparing Incoming Stock Report Monthly.Assure that the invoice from the suppliersiswellorganised according to the supplier"s name and the datethat the goods delivered into storage area. Inputting theinformation from the invoice sheet into the excel fileinsuch as the date of delivery, Stock Keeping Units number,total cost and et cetera. Also, the StockKeeping Units numberswith the name need to be includedin the inventory report to assist for feature action, notablythe ordering process. Calculate the amount of goods inthe storage area according their types and vintage,whereby the information will be recorded in the report.Basically, theamount of goodsisseparated into threecategories,labelledas in shelf, damage and differed.Afterwards, all the report will be hand over to the financedepartment as their reference for the inventory.

Also,asking for permission from the Chief Executive Officerforthe information that will be used for report purpose.3.Liaise with The Head OperationTalk with the head operation forany inquiriesregarding to the tasks given and the Standard OperatingProcedure (SOP) for conducting the task given by him.

CHAPTER 3:CONCLUSION3.1INTRODUCTIONWine Talk that knowsas the largest Wine online shopsin Malaysia isoperating their business online. They are selling more than 2000 types of winethat imported worldwide and the company guarantee that their price is cheapercompared to other wine retailers in Malaysia(Stephan, 2016). As an onlineshop the firm fully utilised a system to perform their daily transaction, howeverthe firm also accept Cash of Delivery for the wine that cost below RM1,000.Specifically, the firm can only guarantee to deliver the goods within 3-5working days in peninsular Malaysia, but currently on 13 July 2016 the firm haslaunched their new branches in East Malaysia. The new branches that locatedin Kota Kinabalu,Sabah and Kuching, Sarawak has contributed to the efficiencyof delivery, now they can guarantee their customers to deliver their parcel within3-5 working days in both areas.

As a person that working in Operation department, the daily task thatneed to be conductedby the staff isprocessing customers order, preparingDaily Hurdle Report,pick up customer call and et cetera. Below is the majorprocess that perform by operationteam day to day.

Checking customers order is one of the crucial task to doon adaily basisto ensure the efficiency of the feature process. The order can be received in 2forms, one is from the main website and the other is order received from apps.Then, prior proceeding to the next process, the payment confirmation needstobe done by the finance department to assure that the payment has beenreceived. Next is updated the orders status into processing and also callingcustomers for any issues regarding their information or for replacement.Afterwards, anyconsumer orderswhich arenot available in warehouseshouldbeincluded in the Purchase Order.Then the next process need to be doneafter receiving the wine that has been ordered is the packaging process ofgoods according to the Standard Operating Procedure and to be shipped out.Lastly, the orders thathavebeen shipsout,will be updated on the system andwill be tracked to ensure the product arrived in their destination.

3.2LESSONLEARNED3.2.1TECHNICALDuring the Internship Program, the lesson that the scholar technicallylearnt is the nature of business of the organization itself and their daily procedurethat needsto be done. The students also learnt how to do the work correctly fortheir own safety and also to comply with the Standard Operating Procedure(SOP) of the firm to assure the task given conducted in the most efficient way.3.2.2HUMANAnother important lesson that is learnt inthis program is the lesson ashuman being, the staffs in the company are working in very polite ways and theyare very supportive that can be a benchmark for the students. Even though theyare segregatedamongst difference department, but still they will support eachother when they are issues faced by the specific department. Moreover, thecommunication and social connection between the workers a great, which helpthem to reduce the stress in the working environment.

3.2.3SELF-MOTIVATIONIn Wine Talk,theywill conduct a short meeting daily, in the meeting eachstaffs will need to mentionwhatistheir 3 superior priorities forthat day. Evenmore,the Chief Executive Officer (CEO) will announcesales target forthat day,the CEO believesthat by doing such things it helps the staff to focus on theirdaily task. As the results, the staff able to conduct their task much more efficientand reduce error in completing their task. What can be learnt by the scholar fromthis circumstance is that, it is important for each person to have their ownpurpose of living. In addition, the individual must have a daily goal that needstobe accomplish ever day in order to achieved your major goal.

3.3KNOWLEDGEGAINED3.3.1COMMUNICATIONSKILL&LISTENINGSKILLIn working environment, a communication skills are very essential tohelp the individuals to conduct their task in an efficient manner. The scholarlearnt how to communicate in difference ways, since during working days theywill not only communicate with their colleague but also with suppliers, purchaserand even with their boss. What the scholar actually learnt is that how tocommunicate in proper manner by using a business ethics in their dailycommunication. Another crucialskill that learnt is a listening skill, need to beequivalent with the communication skill as it helps the students to understandany given instruction better.3.3.2NEGOTIATIONSKILLAnother skill that evolvedduring the Industrial Training Program isthenegotiation skill, which is mostly usedby the staff during communicatingwith thesuppliers, purchaser or even amongst the staff in the firm itself. In a normal lifethe negotiation skill is not fully utilized, but in business negotiation skilliscrucialto be able to get a discount from the supplier or attract consumer to purchaseproduct that we are selling.

For the scholar, it is a newexperience and great knowledge for him as the nature of business of thecompanies is unique compared to other firm.3.3.4MICROSOFTEXCELSKILLIn order to accomplish daily tasks, most of the tools that used is theMicrosoft of Office software, notably, the Microsoft of Excel. The software ismostly used in preparing report like Inventory Report and also Incoming Stockreports, basically the students already have a basic knowledge how to usedsuch software in performing certain task. However, in order to create a formulain the excel sheet is a new experience for them as that kind of skill is not taughtinaclassroom.

3.4LIMITATION3.4.1INTERNETCONNECTION ANDSOFTWAREPROBLEM.As the company are fully utilised system and technologies support intheir daily operations, any buffer or system failure will cause a major issue foreach staffs toperform their tasks. Notably,the operation department, since thecustomer"s order are received online and if there is no Internet connection it ishard for them to process the consumer orders, which leads to the deliverydelayed.3.4.2INSUFFICIENTWORKFORCE.In terms of workforce, currently the operation departmentishaving aproblem in employing a new staff, since the company nature of business thatunique from other firm. It is a struggle for the company to search for a personwith a knowledge and experience in wine to work with them. As a result, thestaffs in the operation department need to do multi task astheydid not haveenough Workforce, even worse if there is any staff that is on leavesthe workersneed to cover all the tasks to avoid any delays along the process.

3.4.3UNCLEAR JOBS DESCRIPTIONAnother limitation for the company is that, they did not give theiremployees a clear job description, which causes some of the employeestookan advantages to instruct other staff to conduct the tasks that supposed to bedone by him. This leads to the buffer in the daily process of the operationdepartment that might affect the efficiency of the process and increase thetendency of errors.

3.5RECOMMENDATION3.5.1INSTALLINGOFFLINESYSTEMAs the solution for Internet connection problem or system notfunctioning, the firm can install a substitute offline system thatautomaticcapturedthe information from the main online system and also save all the work,which is not saved during the Internet connection problem occurs. By doing this,the firm able to reduce the data loss and reduce delays on the daily procedures,notably, for the operation department.3.5.2EMPLOY ANDCONDUCTTRAINING TOFRESHWORKERS OREMPLOYINTERNSHIPSCHOLAR.In fact, most firm willfacea common issue in employing a new staff towork in a new firm, nevertheless, conducting training to the new staff can solvethis kind of problem and if the company did not have enough budget toconductinga training, they alsocan employ an intern student after he finishedhis internship training in the firm, which can reduce the expense of the companyto conduct training for a new employee.
